Meeting Minutes


Call to Order:

The meeting was held at New Hampshire Hospital Assocation Building in Concord and was called to order at 11:00. Brad Balon President of Balon Process Management conducted a presentation of Microsoft Excel techniques for the Facilities Manager focusing on the power of pivot tables.

Officer Reports:

President Report: David Wilder

  • Harry Tibbits is retiring. His last work day is today. He is retiring after 40 years at Alice Peck Day. We all wish him well. Tim will send him a greeting card congratulating Harry and letting him know he has been elected an honorary member of NHSHE.


Vice President Report: Todd French

  • The CMS/TJC survey window is open. Recommend a five minute blurp during future meetings to discuss completed surveys. Todd’s last CMS survey focus was on domestic water temperatures. Recommend engineers bring experience of their recent surveys for discussion.


Secretary/Treasury Report: Tim Bishop

  • Tim Bishop reported that we have 38 paid members to date.

  • Tim Bishop sent out reminders to unpaid members via email. Received dues from 5 additional members.


NEHES Report: Jona Roberts

  • Congratulations to Steve Cutter for obtaining the SASHE designation

  • Congratulations to Chris Bergeron on being recognized as a CHFM.

  • At the last BOD meeting on June 4th, the board decided to move forward with strategic planning and selected a consultant to facilitate the process.

  • Don Garrison is facilitating the supporting member forum. Brad Balon reported a lot of momentum.

  • Voted for engineer of the year that will be announced at the Fall Conference.

  • Nominations for 2011-12 NEHES Secretary: Jona Roberts, Ron Vachon-RI and Ed Lydon.


Committee Reports: Steve Cutter

  • 2010 Fall Conference:

  • As of last Monday Vendors Show is completely sold out. Additional vendors are interested. There is a possibility of identifying more space for additional vendors… Norma is working with Hotel to see if there is a possibility of finding space.

  • The conference has Mt. Washington holding all rooms for NEHES until September 9th. If demand for the rooms is not strong, the conference planners will release some of the rooms to the hotel. Push on engineers to get everyone signed up.

  • Discussion regarding Fall Conference registration and receiving acklowledgement. Steve will follow up with Phil Chaput.

  • Make sure your NEHES dues are paid if you plan to attend.

  • Dave D working on pipe and drape.

  • Education program has one slot to fill.

  • Only lost one speaker and refilled role.

  • Tom Humphrey doing well on the golf outing.

  • Reserve the zip line with the hotel soon for best times since they are limited.

  • Steve to get with Paul Cantrel regarding Keynote Speaker to educate on Healthcare Facilities Management and developing the right team.

  • Signage, gift, and the spouse program are set. Getting down to the minor details.

  • John D. recommended first X NHSHE members will receive $100.00 credit for conference expenses. Jona R. submited a motion that the first 20 NHSHE Members in good standing will receive a $150.00 stipend for attending the conference to be distributed at the conclusion of the conference. Motion granted.

  • Get minutes out that encourage people to register and put Phil Chaput’s contact info in the body of the message and attach Fall Conference Brochure.

  • NEHES will credit all active members in good standing $100 for each hotel night on checkout.

  • Discussion regarding conference expenses.

  • Plenty of sponsorship opportunities are still available.

  • Discussion regarding spouse program. What if spouse wants to attend the banquet only? Steve recommended the purchase of a dinner ticket to cover the cost.


New Business:

  • Distribution and discussion of newly proposed logo.

  • Membership Discussion: Do we keep members on the list if they have not paid their dues? Jona recommended that we need someone responsible for membership and it should be the VP. Todd will follow up on unpaid members.

  • David W. questioned how the seated member’s staff for trade work and if their staff are utilized to complete capital projects. Some of the seated members use in house staff for capital projects however they recommended that their hours are expensed as a cap.

Meeting Minutes May 21, 2010

Call to Order:

The meeting was held at Dartmouth Hitchcock Medical Center, Lebanon, NH and was called to order at 1255 following a presentation and tour of the recently completed Outpatient Surgery Center and lunch.

Officer Reports:

President Report: David Wilder

Dave reported the passing of Richard (Rick) Bowen, the former Director of Engineering at Wentworth-Douglass Hospital in Dover. Those that knew Rick were quick to point out what a wonderful person he was. Several members present recalled fond memories they shared with the group.

 

It was decided that NHSHE would donate $250 to Wentworth-Douglass Hospital in Rick’s name.

 

Vice President Report: Todd French

Todd was not present and no report was submitted.

The last NEHES meeting was devoted to conference calls with the two firms that are being considered to

facilitate the society’s strategic planning process and a presentation by the attorney that had reviewed the

Society’s bylaws. The selection of a facilitator will be considered at the June meeting.

 

Committee Reports:

The 2010 Fall Conference vendor list was discussed. There are still many booths (in all three levels) available, members encouraged to reach out to vendors who may be interested in sponsoring. 40 booths have been sold to date.

 

Steve Cutter reviewed the educational schedule for the Fall Conference.

Steve Nelson, former New England Patriot, will be the keynote speaker.

A reminder will be placed in the May newsletter, encouraging early registration for the Fall Conference and room reservations in advance.

Vendors will not be able to reserve a room at the discounted rate, currently vendors are not being allowed to book rooms.

The registration package should be ready to go sometime in late June.

Dave Dagenais to send out the current vendor list to NH members.

Tim King, of William A. Berry & Son, Inc., has offered and agreed to host a comedian to entertain the guests after the awards dinner.

Steve indicated that Tom Humphreys had finalized the golf package. Golf will cost $125.00 per participant.

A price has of $99 has been negotiated for 3 hours on the Mount Washington zip line.

The spouse program is being finalized.

Room rates for Engineers are still being discussed.

 

Old Business:

The revised NHSHE logo was presented for comment. John Dunleavy was the originator and creator of the

new design and has turned it over to the design department at Dartmouth Hitchcock for the final touches.

 

New Business:

A tour of Dartmouth Hitchcock Medical Center’s new Outpatient Surgery Center was hosted by Steve Cutter.

 

Scott LeClair, PE a principal at Fitzemeyer & Tocci, presented “An Overview of MEP/FP systems. Scott’s

PowerPoint presentation provided a broad overview of these systems followed by a tour of the building. We

would like to thank Fitzemeyer & Tocci for the presentation, tour and for providing lunch. It was decided that

NHSHE would donate $250 to Wentworth-Douglass Hospital in honor of Rick Bowen’s memory.

Certificates for continuing education were distributed to attendees of the CHFM review session.

The next meeting will be held on June 18, 2010 and is currently scheduled at the New Hampshire Hospital

Association building in Concord. The educational topic and location may change so be sure to check before

traveling to the meeting.

Meeting Minutes April 16, 2010

Call to Order:
The meeting was held at New London Hospital in New London and was called to order at 1100.

Discussion on who will resume responsibility for taking meeting minutes now that Tim Bishop is unable to. Volunteers should let Dave know as soon as possible.

Tim Bishop was not present. 

Concerns were discussed in regards to members not paying their dues and participating in meetings. It was suggested to re-evaluate the email and membership list, condense the list and reach out to active members and discuss their intent on continued membership.

NEHES Report: Jona Roberts

The NEHES Spring Conference, hosted by the Maine Chapter, in Leominster, MA was well attended and declared a great success.

There is still time to nominate a NEHES candidate for Engineer of the Year. The deadline is 5/1 and nominations should be forwarded to Fred Leffingwell. 

There was no NEHES Board meeting scheduled in April.

Committee Reports:
The 2010 Fall Conference vendor list was discussed. There are still many booths (in all three levels) available, members encouraged to reach out to vendors who may be interested in sponsoring. 

Steve Cutter reviewed the educational itinerary scheduled for the Fall Conference. Open time slots were discussed. Todd French suggested adding Robert Roseen, the Assistant Research Professor of Civil Engineering at UNH and UNH Storm Water Center Director, to the agenda. Todd will speak to Robert, check his availability and ask that he provide a brief overview to the group during a late morning session on Tuesday. Todd will let Steve know early next week about Robert’s availability. 

A reminder will be placed in the May NEHES newsletter, encouraging early registration for the Fall Conference and room reservations in advance. 

Norma Oaks will be speaking with the printing company next week (for the brochure) and will be providing the group with an exact date that the final information is needed for printing. Food arrangements will also be included in the Fall Conference brochure.

New Business:

Dave Dagenais will look into getting Mark Hilbert as a future speaker. 

Brad Balon offered to do a “live training” session on Microsoft Excel to help educate members how to fully utilize this application. Dave Dagenais suggested using a computer training room at Wentworth Douglas Hospital. The room can accommodate up to 20 people.

The May 21st meeting originally scheduled to be held at Wentworth Douglas Hospital will be held at Dartmouth Hitchcock Medical Center. Members will be able to tour the new outpatient surgical center on the Lebanon campus before it’s officially opened.

Education/Presentation:
The Educational session began at 1300 and concluded at 1530. 

The CHFM Presentation and Review was presented by NHSHE and open to other New England chapters. There were attendees from all 6 states that participated. Steve Cutter presented the history of the CHFM program, Dave Dagenais went over the knowledge base required to be successful when taking the exam, and Dave and Jona Roberts presented the Q&A portion of the program. 2.5 contact hours will be awarded to each participant by ASHE.

CALL TO ORDER:

The meeting was held at Concord Hospital in Concord and was called to order at 1200.

 

EDUCATION/PRESENTATION

Standard Practice for Inspection and Maintenance of Commercial Building HVAC systems presented by Stephen Nicholas, CAFS from Air Industries, Inc.  A copy of ANSI/ASHRAE/ACCA Standard 180-2008 was provided for all members in attendance.  CEU’s awarded. Certificate will be distributed at the April meeting.

  • Tim was not available to report.  Dave Wilder reported we have received 16 paid memberships to date, 14 active and 2 associate. 

NEHES REPORT: JONA ROBERTS

  • Spring Seminar coming up. March 19th.
  • CHFM Exam Waiver. First batch of waivers have been given.  Requested for waivers from ASHE, however, you would need to be an ASHE member to use them.  Speak with Jona if interested.
  • Scholarship opportunities are available details in an upcoming newsletter and to be posted on website.
  • By-laws change to add “Student/Educator” group has been approved for a vote of membership.
  • Supporting Member Forum: Don Garrison is going to head it up. Supporting member.  Chris and Brad nominated as members of this forum for NH.
  • Emerging leader award for ASHE, Engineer of the year award for NEHES. Applications must be completed by the end of March.
  • Dave Dagenais has been nominated for “Engineer of the Year”.

 

COMMITTEE REPORTS:

  • Dave Dagenais:

o   Exhibitor forms sent out; There are 3 levels (gold, silver, bronze), booth location based on sponsorship level, gold in front to bronze in back of exhibit hall.  Will assign location from the back forward to allow flexibility of we receive more of a sponsorship level than expected.

o   Exhibitor forms to be posted on NEHES website after Spring Conference

o   Dave asked members to contact vendors who may be interested.  This may be a good time for smaller NH based companies to show their products.  Dave will send out a list of vendors already contacted.

·         Space available at Spring Conference to advertise Fall Conference.  Norma Oaks is working on a MT Washington backdrop and gift basket for table.

·         Sponsorshipsopportunities divided into two categories:

o  Gold Tourney (Tom Humphrey)

o   Conference Items (Dave Dagenais) – Food, Hospitality, etc.

We need to determine what we want and price tag we are looking for.

            Individuals wanting to assist in this effort should contact above persons.

 

·         Education: Steve Cutter: 27 abstracts returned thus far.  Please contact Steve Cutter at steve.d.cutter@hitchcock.org to share any information you may have of those on the list.  Also, we could use more topics regarding facility maintenance issues.  Heavy on design and codes.  Send any ideas or contacts to Steve.

·         Keynote speaker not selected yet.  Steve Cutter is taking any suggestions.  He has scoured lists but hasn’t found anyone that seems relevant to healthcare engineers, or in our budget.

·         Steve Cutter set a target of July for Attendee Registration packets.  Chris Bergeron and John Dunleavy to work on.

·         Finance: Steve Shaw:  All money requests or revenues for conference should be sent to SteveShaw.  Steve will keep a log of transactions and send payment requests to Gary (NEHES Treasurer) for check or credit card payment.  Dave will send list of paid vendors to Steve as deposits will be made directly to NEHES.

  • Dave Dagenais opened discussion on how NEHES could better support the membership.  Discussion focused around items such as Maintenance Best Practices, etc.  Practical knowledge base the engineer could directly put to use.
  • Paul shared results and materials from a recent TJC survey.

January 11, 2010 Meeting Minutes

The meeting was held at The New Hampshire Hospital Association Building in Concord and was called to order at 1210.

 

EDUCATION/PRESENTATION

  • Goals: Provide a minimum of seven educational sessions. Obtain as many CEU’s as possible. Increase membership by fifty percent. Increase average monthly attendance by twenty five percent. Go for chapter excellence award. Help Steve put on a successful Fall Conference.

 VICE PRESIDENTREPORT: Todd French

  • Code of the month: Please contact Todd if anyone is interested in learning or reviewing a specific code. Todd will conduct research and provide his findings at the following meetings.

 SECRETARY/TREASURER REPORT: Tim Bishop

  • Updated renewal applications were emailed with the invitation to January’s meeting.
  • Tim will send out a single mailing to renew membership.

 NEHES REPORT: Jona Roberts

  • NEHES Spring Seminar coming up. March 19th.
  • CHFM Exam Waiver. Jona brought some with him. Should tie in nicely with program in April.
  • Scholarship Ops this year. $8,000.00 for student and member scholarships. Membership to NEHES exclusively to management positions has been lifted and anyone in the Healthcare Facilities field can now apply to NEHES and take advantage of these benefits.
  • Targeted growth. Membership Chair is Joe Mona.
  • Supporting Member Forum: Don Garrison is going to head it up. Each chapter has been asked to nominate 2 Supporting Members to participate.
  • Nominations are needed for the ASHE Emerging leader award and the Engineer of the Year award for NEHES. Applications must be completed by the end of March. See the respective web sites for details.

 

COMMITTEE REPORTS:

 

      Fall Conference: Steve Cutter, Chairman

·         Hotel is locked down for three days. Event Planner now formerly working for NHSHE.

·         Done to date: Hotel contract in place. Save the date flier went out. Started on educational program.

·         Call for abstracts went out. Registration brochure planning with same contractor who did last NH event.

  •   Challenge is to put on a quality program with good educational opportunities at an affordable cost to participants.
  • ·         Vender Registration Packet: Still working out number of booths and locations. Goal of 80 – 100 booth spaces.
  • ·         Discussion on Sponsorship Opportunities sheet to go out after the registration.
  • ·         NHSHE could buy down the cost of the room to off set the total cost to the engineers for $99.00 per night for three nights.
  • ·         Spouse program sponsored by vendors. Suggest vendors raffle off vouchers foractivities.

·         Other sponsorship opportunities discussion:  Breakfast, Lunch, Dinner, Beer, Spouse Programs i.e. Zip Line Raffle (on the last day), Scholarships up to $1000.00.

·         Activities: Golf, Cog, Spa, Zip Line, Wine Tasting. Discussion on organizing these events i.e. provide a couple of different tracks.

·         Recommend to mail out Vendor Registration followed by Sponsorship Opportunities mailing.

·         Education: Call for abstracts deadline has been extended to February 15.

·         Still looking for a Keynote Speaker.

  • Web Site for the State Chapter: Everything is up to date through our December meeting. Jona would like minutes by the end of each month for posting and the chapter report.

SECRETARY/TREASURER REPORT:

Tim will send out membership dues with Decembers meeting minutes.

There are currently 24 paid members.

15 have taken the NEHES opton  

 

NEHES REPORT:

Dave reported that there was no change from last month’s report.

Jona questioned Connecticut’s affiliation with ASHE. What are the pros and cons?

Jona reported that NEHES is offering four free testing opportunities for CHFM exam which must be taken by May 2010. Jona would encourage those of you who may be interested. Keep and eye on the NEHES website.

 

OLD BUSINESS:

 

Meeting Schedule – New Hampshire Hospital Association booked for the third Friday of each month for 2010. Meetings will be held at 1200.

 

Training 2010 – It was decided to continue to have educational opportunities at our monthly meetings. However add the Fall Conference Event planning to the agenda.

 

Policy review added to the monthly agenda. Pick a topic and encourage members to share documentation, etc.

Share survey results. What is the hot topic that they are focusing on?

NFPA 99 Update Old Document vs. New Document (NH/VT).

Coordination of a CHFM Training Session and review. Open it up to other chapters. Pursue with NEHES or conduct NHSHE Session.

The Joint Commission Life Safety Chapter Review and Discussion. Steve Cutter recommended Gene Cable to walk us through this process.

Steve Cutter recommended ASHE E-Learning; “Managing Life Safety” for FM’s who would like to bone up on Life Safety.

 

January: Training opportunities for roof maintenance or roof replacement strategies. Todd will contact Dan the Roofing Man for January’s meeting. Jona would like him to promote vendors to continue buying lunch.

February: Paul Cantrell could have someone come in and discuss the new ASHRE standards in February. Will host at Concord Hospital.

March: NEHES Conference.

April: CHFM Home Grown Review at New London Hospital

May: Dave Dagenais, Security Systems and Technology. Jona recommended that we can market this presentation to other people.

June: Bob L. Energy Management Technology.

 

Goals

NEW BUSINESS:

 

2010 Membership Dues

Active Membership: Dave D. proposed we raise the dues to $50.00. All seated member’s in favor.

Dual NHSHE/NEHES Membership: If you are an ASHE member; you don’t qualify. NEHES deal will be $65.00 for NEHES and NHSHE dual membership. All seated members in favor. Tim to update and submit for review.

ASHE Members will receive free NEHES Membership which means you will still have to pay $50.00 to NHSHE to remain a NHSHE Member.

Associate Member: $100.00. All seated members in favor to keep Associate Member Dues at $100.00.

Chris Bergeron brought some extra “Save the Dates”. A lot of things need to be ironed out before sending publications.

November 12, 2009 Meeting Minutes

The meeting was held at the New Hampshire Hospital Association Building and was called to order at 0915.

No Education or Presentation Scheduled for this meeting.

 

OFFICER REPORTS:

 

PRESIDENT REPORT:

Chris would like an updated list of paid members in preparation of the annual report.

Results from the Survey are in:

Question: Entering the 2010 year, what is the most important to you as a member? Answer: Majority of members would like active training/discussion program.

Question: Please rank what days you are best available. Answer: The third Friday of the month ranked #1.  The seated members agreed on this date which will be implemented starting in January.

Question: What time slots do you prefer? Answer: Afternoon (12-4pm).

Question: What would you like to see for future discussions /training topics? Answer: Two topics that resounded from this question were compliance and sharing of documentation and operations.

 

VICE PRESIDENT REPORT:

No report.

 

SECRETARY/TREASURER REPORT:

$877.00 worth of expenses. $500.00 paid to NHSHE members who attended the NEHES Fall Conference. $377.00 paid to TG Graphics for the 2010 NEHES Fall Conference save the date mailers.

There are currently 24 paid members.

15 have taken the NEHES option so far.

8 paid members put in for NHSHE Fall Conference Reimbursement. 5 have been reimbursed.

 

COMMITTEE REPORTS:

 

2010 Fall Conference

It was decided to continue to have education at our monthly meetings.

The business portion of the meeting will incorporate 2010 Fall Conference Planning.

Norma (NHSHE Event Planner) – has submitted a proposal. Norma, Steve Cutter and Steve Shaw working on the finance piece in preparation of a presentation at The NEHES Board Meeting. Big discussion with how much do we offset the cost for Active Members.

Discussion on booths. Steve Cutter thought that providing a flat rate per booth may be an option. If a vendor wanted a larger booth then they are free to purchase two booths.

Steve would like to see more networking take place.

Looking for a Keynote Speaker.

Start thinking about a “Theme”.
